B2B transfer terms
Version 2 · Published 06/10/2026
These terms explain how Bookvion Agency arranges private transfers on available routes, how bookings are confirmed, and the standards required of transport providers in the country where each service takes place.
1. Parties and scope
1.1 These conditions describe the Bookvion Agency transfer service operated by FATIH KEMAL LLC (“Bookvion”) for approved travel agencies and other business customers (“Agency”). They cover private transfers on routes offered in the Agency dashboard or expressly confirmed by Bookvion in writing. They are distinct from the Bookvion publisher affiliate programme, which does not create agency booking or payment rights.
1.2 Bookvion arranges and coordinates the booking. The journey is performed by an assigned transport provider authorised to operate in the country and locality where the service takes place. The confirmed booking, passenger voucher, route-specific conditions and any individually signed B2B agreement form the service record. A signed agreement or written route-specific condition takes precedence where it expressly differs from this document; mandatory local law still applies.
1.3 Route, vehicle and service availability varies by location, date and provider. Displaying a route or indicative price does not guarantee that a particular vehicle or service is available until the booking is confirmed.
2. Agency account and responsibilities
- An Agency must supply accurate company and authorised contact details, keep login credentials secure, and give access only to its authorised staff.
- The Agency supplies accurate passenger names, telephone number, flight number, route, hotel/address, local pickup time, passenger and luggage counts, child-seat needs and any mobility requirements before payment. It promptly forwards the voucher and urgent updates to the traveller.
- The Agency is responsible for its own client relationship, resale price, disclosure of its own fees and any consumer-facing obligations. Bookvion's agency price is the amount payable by the Agency; it does not prescribe the Agency's retail margin.
3. Price, payment and confirmation
3.1 Where the dashboard displays a bookable vehicle and option price, the Agency sees that price before creating a standard booking. A route requiring manual verification receives its final price and availability before payment. Each direction is a separate journey unless a confirmed round-trip booking expressly includes both. A one-way journey uses its own route price; when a round-trip option is offered and selected, its transfer base is twice the outbound vehicle fare. Any direction-specific extras are disclosed before payment.
3.2 A booking submitted without payment is a request or payment-pending record, not a confirmed transport service. The Agency pays the displayed amount by an available card method or by bank transfer to a Bookvion account shown in the dashboard. Card payment is confirmed automatically when the payment provider reports success; bank transfer requires Bookvion to verify receipt. A passenger voucher and confirmed status follow payment and operational allocation. No driver is promised before confirmation.
3.3 A change in route, vehicle class, passenger capacity or separately priced option requires a new displayed price before payment. Bookvion will not increase an already paid price unilaterally; where a requested change costs more, the Agency may accept the difference or keep the original confirmed service if it remains feasible.
4. Local provider qualification
- For each journey, Bookvion assigns an operator holding the licences, permits or registrations required by the competent transport, tourism or other supervisory authorities in the country and locality of service. Before assignment it checks the applicable operator and vehicle authorisations and transport documents. Requirements differ by jurisdiction, service and vehicle; no single national certificate is presented as universal.
- The provider must hold the motor-liability, passenger or other insurance required for its operation, keep vehicle registration and journey documents current, and meet any passenger-list, reporting or inspection duties imposed by the competent authorities where the transfer takes place.
- The provider must supply a driver with the driving licence, professional qualification and any medical or fitness documentation required for that vehicle and service by the relevant authorities. An unauthorised substitute driver or vehicle is not permitted.
5. Vehicle selection and condition
- The assigned vehicle must safely seat the confirmed number of passengers and carry the declared luggage without exceeding registered capacity. Each usable passenger seat must have the required restraint; requested child seats must be installed before pickup.
- The provider must keep the vehicle’s inspections, maintenance, tyres, brakes, lighting, doors, heating or air-conditioning and safety equipment current and fit for service under the rules of the country where the journey takes place. A vehicle with a material defect must be replaced before the journey.
- The cabin and luggage area must be clean, dry, free of smoking odour and unnecessary clutter. Seats and upholstery must be presentable; ventilation and climate control must work. The vehicle must be cleaned between services when needed.
- Vehicle photos and example models indicate a class, not a guaranteed make or model. A substitute must meet or exceed the booked capacity, accessibility requirement and service class; material changes are communicated to the Agency. A lower class requires the Agency's agreement and an appropriate price adjustment.
6. Driver conduct and presentation
- The driver must arrive fit to drive, follow road and rest-time rules, use seat belts, drive without handheld-phone distraction, obey speed limits and never work under alcohol or impairing substances.
- The driver must wear clean, appropriate clothing, maintain personal hygiene, speak respectfully, help with reasonable luggage loading, and avoid smoking, unwanted conversation, discriminatory conduct or requests for undisclosed payment.
- The driver or meet-and-greet representative must use the agreed meeting point and booking name/sign instructions. The traveller must receive a reachable operational contact on the voucher. Driver and vehicle changes must be passed to Bookvion promptly.
- For a group, Bookvion confirms the vehicle count, seat and luggage allocation and, where needed, a meeting coordinator before the service. Group logistics and any accessibility equipment must be written into the booking rather than assumed from a vehicle image.
7. Flight changes, delays and waiting
7.1 Where flight tracking is included in the booking, Bookvion or its assigned provider uses the flight number supplied by the Agency to check reasonably available arrival information. The Agency must notify Bookvion as soon as it learns of a changed flight number, date, arrival airport or major schedule change. A change is effective when Bookvion confirms the revised pickup arrangement in writing; a different airport, day or vehicle requirement may need repricing and a new provider allocation.
7.2 Any free waiting period and optional paid extension are shown in the booking or route-specific conditions before payment. When a booking includes flight monitoring, the pickup time may be revised after reasonably available arrival information is checked and the new arrangement is confirmed. Flight monitoring does not promise unlimited free waiting or automatic coverage for a missed connection, changed flight or unreported disruption.
7.3 If a guest is delayed at passport control or baggage claim, the Agency or guest should use the voucher contact or the Bookvion WhatsApp line immediately. Operations will coordinate the current meeting point and practical options with the local provider; any extra waiting charge must be disclosed before it is accepted.
8. Travellers with reduced mobility
8.1 The Agency should identify whether the traveller can transfer to a standard seat, whether the wheelchair is manual or powered, whether travel while seated in the wheelchair is required, and the chair's dimensions and combined weight. It should also state the number of companions, luggage and the need for a ramp, lift, transfer aid or wheelchair securement. Only information necessary to arrange the service should be shared.
8.2 A request for a wheelchair-accessible vehicle is a vehicle requirement, not merely a note about carrying a folded wheelchair. Bookvion checks an appropriate vehicle, safe boarding and wheelchair restraint before confirming it. The confirmed voucher must state the agreed assistance and equipment. A standard minibus must never be represented as wheelchair-accessible without verification.
8.3 Required boarding equipment, wheelchair securement and any related vehicle cost must be included in the quoted total before payment; no undisclosed equipment charge may be added at pickup. Where a dedicated accessible vehicle is offered, its whole-vehicle price and availability are confirmed for the specific route. An unconfirmed accessibility request is not a confirmed accessible transfer.
8.4 Accessible-vehicle standards, permits and assistance duties vary by country and are checked against the rules and competent authorities where the service takes place. The vehicle, ramp or lift, boarding arrangement and wheelchair restraint must be suitable for the traveller’s stated needs and confirmed before payment. No price for one location is treated as a global fare.
9. 24/7 support and on-site coordination
9.1 Bookvion operations, led by Fatih Kemal Onur and the team, can be reached 24 hours a day on WhatsApp at +90 554 972 31 33 for urgent booked-transfer issues. The assigned driver or meeting representative is the on-site contact for that service. This does not mean Bookvion permanently staffs a desk at every airport.
9.2 For a missing driver, vehicle mismatch, accessibility problem or other urgent incident, the Agency or passenger should give the booking number, location and a callback number through the voucher contact or WhatsApp. Bookvion will contact the local provider, coordinate an alternative where possible and keep the Agency informed. Safety emergencies should first be reported to local emergency services.
10. Changes, cancellation and refunds
10.1 Change and cancellation requests must be sent through the dashboard or in writing, identifying the booking number. A cancellation is effective when received by Bookvion. The cancellation deadline and refund rule shown for the route before payment apply to that booking, subject to mandatory local rights. Where no different route-specific condition is shown, a standard paid transfer cancelled more than 24 hours before the confirmed pickup time is refundable in full; at 24 hours or less, or for a passenger no-show, the paid transfer price is normally non-refundable. If Bookvion or its provider cannot perform a confirmed transfer, Bookvion refunds the amount paid for that transfer or offers an agreed replacement.
10.2 A special group or dedicated accessible-vehicle booking may involve a different supplier commitment. Any different cancellation deadline or non-refundable cost must be shown and specifically accepted before payment; it does not apply merely because an accessibility need was disclosed. Statutory rights in the country of service or the Agency’s jurisdiction that cannot be excluded remain unaffected.
11. Passenger data, service review and complaints
11.1 Each party uses passenger data only as necessary to arrange and support the booked transfer and complies with its own applicable data-protection duties. The Agency must be entitled to submit travellers' information and inform them of the transfer to Bookvion and the assigned local provider. Details of a disability or medical need must not be collected beyond what is needed for safe transport.
11.2 The Agency should report a service complaint with the booking number and available evidence within 14 days after the service. Bookvion will examine platform and payment issues and investigate vehicle or driver matters with the assigned provider. Nothing here removes a remedy required by applicable law.
12. Contact and version
12.1 Agency contracting and non-urgent notices: partners@bookvion.com. Urgent booked-transfer assistance: WhatsApp +90 554 972 31 33. This document is versioned above; a material change applies to future bookings after notice and cannot retrospectively alter an already confirmed booking. An individually signed B2B agreement may provide different commercial terms. Any mandatory rules of the country where the transfer is performed continue to apply.
